SOP - Collaborating With External Vendors
Setting Up Your Workspace
Always invite collaborators into your managed organization. This is critical for maintaining data consistency and avoiding costly integration issues.
If vendors work in their own separate workspace, the data they create cannot be easily merged into your organization. Migrating this data later requires intervention from our development team and incurs additional service charges.
Assigning the Right Permissions
Different types of vendors need different levels of access. Here's how to set up permissions for each role:
Working with Designers
Recommended setup
-
- Create a dedicated project for the designer's work
- Grant them editing member access to that project
What they can do:
-
- Create and edit signs within that project
- Create new sign types
Limitations to be aware of:
-
- Project members cannot create or modify location plans
- They cannot edit existing sign types (but can create new ones)
Additional tips:
- Use mandates on the project to limit which locations and sign types they can access
- If designers need to reference signs outside their current project, consider granting them viewer access to those specific signs
Working with Fabricators
Recommended setup:
-
- Create a build project specifically for fabrication
- Make the fabricator a build project member
Benefits of this approach:
-
- Gives fabricators a dedicated workspace
- Prevents your team from editing signs that have already been built (unless explicitly invited as members)
- Maintains clear separation between design and fabrication phases
Working with Installers
Recommended setup:
-
- Invite installers with review permissions to a single state
What they can do:
-
- Access the mobile app to view signs ready for installation
- Confirm installation status
- Take photographs of installed signs
- Run installation reports
