A guide to SignAgent and your first project

We're completely focused on helping you succeed, which is why we've put together this comprehensive guide. Think of this as your go-to roadmap, giving you a simple, step-by-step tour of everything you need to know to begin to master SignAgent. It will walk you through all the important stuff, from getting set up to handling big projects, so you'll be ready to confidently start and finish your very first signage project with SignAgent. Once you complete this guide, you'll have a solid grasp of the application and be well-equipped to utilize its full potential.

The Parts of the Machine

Let's break down all the different parts of SignAgent and make them make sense to you.

  • Organizations - Organizations are where you house the projects for each of your clients
  • Projects - Projects are where you track your signs through their life cycle stages. Your projects are broken down into states that represent each stage of the project.
  • Locations - Locations are the uploaded floor plans for your projects.
  • Sign Types - Sign types are the blueprints for the signs you’ll be creating. They dictate the sign standards, like messaging and details.
  • Fields - Fields are the building blocks of sign types. There are two main kinds of fields: messaging and details. Fields can be formatted to hold different kinds of data, like text, colors, dates, and visuals.
  • Signs - Signs, which correspond to their real-world installations, are placed on location plans for easy visualization and reference. The construction of each sign is governed by the specific rules defined by its corresponding sign type. For example, a room ID sign will be created according to the specifications outlined in the room ID sign type. 

Navigation & Visibility

  • The Dashboard - The dashboard is what you see when you first log in. It is where you can navigate your organizations and projects so you can start working. 
  • The Sidebar - The sidebar is the key to navigating and viewing your signs split amongst your projects, locations, and sign types.
  • Searching and filtering - Sometimes projects can get quite big with lots of signs and messaging info. You can utilize our search and filtering tools to easily find specific signs and information.

Project Administration & Permissions

  • Permissions - Permissions dictate what organizations, projects, or signs a user can view. Users can also have full access or read-only viewer permissions. Viewer permissions do not require a licence which makes it easy to collaborate with external clients and partners.
  • Licenses - Only licensed users can create content in SignAgent.

A Typical Design Workflow in SignAgent

This section outlines a standard workflow for an average design project from start to finish. While this may not precisely match your specific process, it offers a foundational framework that can be easily adapted to meet your requirements.

Note: after each project stage, don't forget to move your signs to the next state so you can accurately keep track of your progress in the project.

Setup

  • Creating your project - Create a project to track your progress. You can have more than one project at a time, so this allows you to keep track of everything you’re doing for your client.
  • Setting up your project states - create a state for each major milestone within your project. As the project progresses, your signs will move through these states to indicate where they are in the project's life cycle. Common states include: Survey, Program, Design, Review, Fabrication, Installation, Complete

Kick-off

  • Site Survey / Sign Plotting - In this step, we are placing the signs on the floor plans, either from a document provided by the client or by conducting an on-site survey using the SignAgent mobile app. We’re not focusing on messaging at this stage. The goal is simply to get the signs on the floor plan. 
  • Creating your Sign Types - It is now time to identify the necessary sign types and their corresponding fields for this project. 

Messaging

  • Adding messaging information to your plotted signs - Next, we will take the signs we have already plotted, assign them to the correct sign types, and begin populating the messaging fields.

Design / Templating

  • Design and upload your artwork - This is where you do what you do best! Use the SignAgent sign list to keep track of what you need to do, and then design the signs as you normally would. Upload the artwork to the platform when completed. 
  • Design sign templates - To maximize efficiency, you can utilize SignAgent's sign templates to automate the creation of sign artwork. While learning to create these templates presents the steepest learning curve within SignAgent, the effort is worthwhile, as a single template can automatically generate hundreds of identical signs.

Review & Report

  • Create a review state - Review states allow you to collaborate with your customers by inviting them into SignAgent to review and comment on your designs. 
  • Create a message schedule - We have some excellent reporting features that allow you to export message schedules quickly and easily.

Fabrication

  • Export the artwork from SignAgent - You can easily take your artwork from SignAgent and export it for fabrication or other purposes.
  • Use the SignAgent Fabricator Script in Illustrator - The SignAgent fabricator script is the most efficient and complete way to prepare and exported artwork for fabrication.

Installation

  • Set up an ‘installation’ review state - Review states are not just for artwork approval. By simply changing the review state actions to ‘to be installed’. ‘Installed’, and ‘unable to install’, this gives you a more complete look into the installation progress.
  • Installation and the mobile app - When installers use the mobile app, they have the most complete and up-to-date information possible. Simply add their accounts to the above mentioned review state so they only see the signs they need to. They can also take pictures of each installed sign.

Punch List

  • Create an instant punch list - Creating punch lists can be a pain. SignAgent has a custom report template all ready to go to automatically generate one for you. Simply utilize our custom reporting feature.

Complete

  • All signs are installed or delivered, and the project is complete.
